Pull Skills & Attributes from your HCM

Using your existing HCM integration, you can pull your employees' Skills & Attributes into TrackTik.

Overview

You can manage your employees' skills and attributes within your HCM and view them in TrackTik. This allows you to use this information for scheduling while maintaining your HCM as the "source of truth" for all skills and attributes. By assigning skills in your HCM and viewing them in TrackTik, you can reduce the time it takes to onboard new employees.

Before you start

Here are some things you must do before you start:

  • Have an active HCM configuration
  • Contact us to have the HCM CERTIFICATIONS feature activated.

Assign the necessary permissions

For admin roles that will need to monitor employee skills, you will need to assign two permissions:

  • Go to Settings
  • Click Roles & Security
  • Choose the Admin Portal Role that will need to monitor employee skills.
  • Open the Employeeskill folder
    • Check the box next to View Employee Skills
  • Open the Audit History folder
    • Check the box next to View Settings Audit History
  • The affected admin users must sign out and return to the portal for the changes to appear.

Adjust the Expiring Skill Warning

By default, TrackTik warns you if an employee skill will expire within the next thirty days. You can adjust this threshold within the system settings.

  • Go to Settings
  • Click View All
  • Select General
  • Choose General again
  • Adjust the Expiring Skill Warning (in days)
  • Click Save

Validate HCM certifications in TrackTik

You can view certifications created in your HCM in the Employee Profile and HR & Payroll. However, you can't edit or adjust the certifications in TrackTik; you can only do so in your HCM.

  • You can select HCM Certifications from the All Sources drop-down on any of the following screens:
    • Hover over Employees
      • Select Skills & Attributes
    • Hover over Employees
      • Select Expiring Attributes
    • Click Employees
      • Select an employee
      • Click View
      • Click the Skills & Attributes tab
    • Click Employees
      • Select an employee
      • Click View
      • Select HR Profile
      • Click Certification Skills
    • Click the HR & Payroll tab
      • Select Skills Management
    • Click the HR & Payroll tab
      • Select Expiring Certifications

Monitor HCM certifications in TrackTik

Once your HCM certifications are connected with TrackTik, you will see a new HCM CERTIFICATIONS tile on the Live Dashboard.

Clicking on the tile takes you to the Certifications section of the HCM Activity screen. Statuses are marked:

  • ACTIVE
  • EXPIRING SOON
  • EXPIRED

Go to your HCM to make any necessary adjustments.
