Overview
Using the IVR system, you can create audio recordings that generate system exceptions for later review by a system administrator.
Before you start
- The IVR system and audio recordings require TrackTik's scheduling module.
Create an audio prompt to record an incident report
To create an option for security guards to record a message on the IVR
- Go to Settings
- Select Call-In Attendance Setup
- Click Advanced Customization
- Scroll to either:
- Create an incident report option 2- You can edit the "To record an incident report, press 2" message.
- Create an incident report option 4- You can edit the "To record an incident report, press 4" message.
- If needed, edit:
- The Please record your report and press pound message
- Click SAVE SETTINGS
Leave an audio incident report using the IVR
- Call your company's IVR number.
- Choose either option 2 or 4, depending on your company's settings.
- Record your message and press #
Review IVR audio recordings
To review recordings from the IVR
- Hover over Dashboards
- Click System Exceptions
- Select IVR Audio Reports
- Choose a report from the list and click View
- Play the recording by clicking the arrow
- You can Change Ticket Status to manage the recording
