Overview

The Interactive Voice Response (IVR) system is crafted to simplify and improve workforce management. Users and Employees can easily clock in and out of their shifts via phone, ensuring precise timekeeping and minimizing manual data entry. This feature is especially beneficial for remote or mobile employees who need access to conventional clock-in systems.

Overall, TrackTik’s IVR system aids security firms in maintaining accurate records, boosting accountability, and optimizing workforce management.

 

Create a Custom Greeting and Transfer Number

  1. Enter a custom greeting message in the text box. This message will be read aloud to security guards when they call the employee hotline.
  2. Save any changes you make to the greeting.
  3. Add a transfer number. Employees can transfer their call to this number by dialing "0."
  4. Save any changes to the transfer number.

 

Configure the Advanced Customization Options (Optional)

Type custom messages for different functions on the employee hotline. The message on the left-hand side indicates the function. In the example above, the function is the Punched In message. The text on the right-hand side shows what it will read as a message to the user. You can change the text on the right-hand side to change what the user hears when selecting that option.

 

Recording Custom Messages as Menu Options

  1. Click on the Record icon above the text for that message.
  2. In the pop-up window, enter your phone number and click on the [Call Number] button.

The system will call your phone and prompt you to record the new voice message over the phone. The system will capture your voice message and set that to the message in the employee hotline.

 

Audit / View Call Logs

In Call Logs, you can view the complete history of calls to the employee hotline. You can also filter by type of call, from and to the phone number, employee name, and date range.
