Accessing and using Data Lab in your TrackTik Portal

Learn how to access and use Data Lab dashboards in your TrackTik Portal to help you with your data-sharing needs.


 

Overview

If you purchased Data Lab and log into your TrackTik Portal, there's a Data Lab tab in the top navigation bar.

As a dashboard owner, you can share dashboards with other employees and stakeholders with the required admin permissions for an improved data exchange experience, all from your TrackTik Portal.

You can view any shared dashboards if you're an employee with admin-level access.

You can also use filters to show the relevant data for your needs and download the data as a PDF.

Before you start

Here are some things you must do before you start:

  • If you're the main admin and can't see the Data Lab tab in the top navigation menu, you must purchase Data Lab.

    To learn more about purchasing Data Lab, contact your TrackTik representative.

  • If you're an employee who's a dashboard owner and can't see the Data Lab tab in the top navigation menu, you must have admin roles and permissions turned on.

    To turn on your admin roles and permissions, contact your TrackTik Portal admin.

  • If you're an employee who's a dashboard owner, you must share your dashboard with the employees and stakeholders so that they can see it. The employees and stakeholders must also have admin permissions turned on. You can only share dashboards, not singular widgets.

Use Data Lab in your TrackTik Portal

When you access Data Lab in your TrackTik Portal, you can complete your data-related tasks:

  • Dashboard owner
    If you're an employee who's a dashboard owner in Data Lab, you can check out all of your dashboards, including ones that are shared with you. Select the dashboard and use the filters to drill down into the data. You can also share your dashboards with other employees and stakeholders with the required admin permissions turned on.

  • Employee or stakeholder
    If you're an employee or stakeholder, you can view dashboards that are shared with you. Select the dashboard and use the filters to drill down into the data. All dashboards are view only; you can't make edits.

If you use the Type to search... box, it only returns the dashboard title; no other titles in a dashboard return in your search results.

If you need to share a dashboard outside your TrackTik Portal, you can download it as a PDF and print or share it.

Access model
Data Lab access is tied to Admin Portal roles. There are no granular, Data Lab-specific permissions. As a result, users who build or manage Data Lab content should be administrators. Viewing and editing access to specific dashboards can be shared by user or by role.Who can grant access

  • Dashboards your organization created: Administrators in your environment can share dashboards directly from Data Lab to users or roles.
  • Dashboards created by TrackTik (our team): Provide the list of users (email addresses) or role names you want added, and we can share access to those dashboards for you.
    To request access to TrackTik-created dashboards, contact your TrackTik representative or Support.

How to share a Data Lab dashboard

  1. Sign in with an Admin Portal role that has access to Data Lab.
  2. Open the dashboard you want to share.
  3. Click Share (or the sharing/permissions menu in Data Lab).
  4. Add either individual users (by email/username) or roles.
  5. Choose the appropriate access level (Viewer or Editor).
  6. Save changes and notify the users.

Best practices

  • Use roles: Instead of sharing to many individual users, share to a role (for example, "Regional Admins"), then assign users to that role.
  • Limit administrative scope: If you need someone to build in Data Lab but want to limit the breadth of their access, create a dedicated Admin role that is restricted to a specific region or business unit and grant that role access to the dashboards.
  • Train and audit: Because Data Lab is connected to broad datasets, audit who has access and train users on handling sensitive data appropriately.

Troubleshooting visibility issues

  • User can't see a dashboard: Confirm they have an Admin Portal role and that the dashboard has been shared to their user or role. Have them sign out and back in, or clear cache.
  • Some members can see reports, others cannot: Check whether the dashboard is shared to their role, and whether those users actually belong to that role. Also confirm their region access aligns with the content of the report.
  • Request through Support? For dashboards created by TrackTik, we can add users/roles upon request. For dashboards created by your team, your admins can share directly.

Important limitation
Granting Data Lab access without admin rights is not supported. There are no Data Lab-specific permissions; access is tied to Admin Portal. Our best practice is that users who build or manage Data Lab content be administrators.
