Manage Sites

Overview

Once you create a site, there are several options for managing it. You can edit site information, close the account, assign a geocode to the site location, adjust dispatch settings, and prepare a schedule for the site from the site screen. Additionally, you can move sites between regions from the List All Sites screen with the necessary permissions.

To access the site-specific options, go to:

  • Sites (Client)
  • Select Site List
  • Choose the site
  • Click View

The management tabs are displayed above the site name, phone number, and address.

Edit Site Information

Edit information such as an address, contact person, phone number, etc. You can edit the information you entered when you created the site.

For example: to update the time zone for a site:

  1. Go to the site you want to update.
  2. Select Edit.
  3. Find the Time Zone field, search for and choose the appropriate time zone.
  4. Click Save.

     

Close Account

This option allows you to close a site as of a specific date, terminate a position, or terminate contracts.

When you close an account, you have the following options:

  • Terminate Site (And all contracts): Use this option to close the site and end any contracts.
  • Terminate One Or More Positions: This option allows you to end one or more than one position and keep the site option. If you select the option, you will be prompted to select the positions you wish to terminate.
  • Terminate One Or More Contracts: Leave the site open and terminate one or more contracts. You will be prompted to select the contract or contracts you would like to close.
  • Last Day Of Service: Select the last day of service for the site, contracts, or positions.

Click Save to confirm the action.

 

Why a terminated site may still appear?

A site can be marked as terminated while one or more contracts tied to that site remain active. The validation list tracks active contracts, so the site continues to appear until all associated contracts are ended.

To fix this, follow these steps:

  1. Go to the Site in your portal.
  2. Reactivate the site.
  3. Once reactivated, close it again, but this time make sure to choose the option to “Terminate Site (and all contracts)” as shown in the screenshot below.

This will ensure that both the site and its associated contracts are properly closed.

 

Geocode

Geocode the site to track your security guards accurately and for efficient mobile patrols. Selecting the Geocode tab will open a zoomed-in view of the site location based on the address information you entered when you created the site. You can adjust the site's geolocation manually if you need to.

To adjust the site location information:

  • Select Manual
  • Either:
    • Drag and drop the pin icon on the map to the desired location.
    • Enter the latitude (lat) and longitude (long) in the respective fields.
  • Click Save

Note: Sites with a manual geocode are identified with a in the Site Address column of your sites list. The symbols are color-coded to indicate:

  • Red : The geocoding has failed. Confirm the address information.
  • Orange : The address is not geocoded.
  • Blue : The location has been geocoded manually.

Dispatch Settings

They are used with the Mobile Suite module. Select a service level agreement and/or designate the site as a Master Dispatch Organization (a company to whom you outsource alarm response services).

Prepare Schedule

If you have TrackTik's scheduling feature, select Prepare Schedule to schedule shifts at the site.

Move Sites Between Regions

With the necessary permissions, you can move single sites or groups of sites to another region. To move sites between regions:

  1. Select Sites (Client) to open List All Sites.
  2. Click Move to move a single site to a new region or select multiple sites by selecting the checkbox in the left-hand column and then click Move.

  1. Select the region you want to move the site to from the drop-down list.
  2. Click the Save button to confirm the move.
