Manually sending large reports

Some reports may be too large to send to your recipients and will append the following message to the email:

*** Attachment too large. Contact us for the file. ***

PDF Size Limit

  • Our system attempts to send reports as PDF attachments when possible. However, when the total size of the email exceeds the configured limit (commonly 10 MB), the system automatically switches to sending a link instead. The limit applies to the entire email message (body, headers, and all attachments), not just the PDF file size. Note, that the size of the mail is calculated by the server after encoding, which may lead to a situation where the mail looks like it is below the 10 MB limit, but still end up over it after it is sent.

If you expected an attachment but received a link:
  • Check the size of the report and embedded media (photos/videos) that may make the email exceed the limit.
  • Send a test to a mailbox that displays message size to verify.

Ways to keep emails under the limit:
  • Locate the share settings for the report or dashboard.
  • Reduce the number or resolution of photos in reports
  • Split large reports into multiple smaller ones
  • Send to fewer recipients per email if your mail server inflates size with recipient-specific processing
  • Schedule more frequent, smaller reports (for example, daily instead of weekly rollups)

    Configuration notes:
  • If you recently changed a setting to always attach PDFs, remember that the size limit still applies to the entire message. Once over the limit, the system will revert to sending a link.
  • If you need help reviewing your current settings or global limits, contact Support with the specific report names and example recipients.

Troubleshooting downloads in Microsoft Edge

If you receive errors like: Error 404 - File or directory not found while downloading Excel or certain report files in Microsoft Edge, a browser configuration may be blocking downloads.

  1. Open Edge and click the three dots in the top-right corner.
  2. Go to Settings > Downloads.
  3. Turn off "Open Office files in the browser" (or a similar setting that opens Excel files in-browser).
  4. Allow pop-ups and redirects for your portal. Go to Settings > Cookies and site permissions > Pop-ups and redirects and add your portal's domain to the Allowed list.
  5. Allow automatic downloads for your portal. Go to Settings > Cookies and site permissions > Automatic downloads and add your portal's domain to the Allowed list.
  6. Retry the download from the web portal.

If issues persist, test in another browser (Chrome or Firefox) to isolate whether the problem is browser-specific.

Note: Chrome is recommended browser
