Creating and editing report template fields after enabling conditional fields

Conditional Fields are currently only available for   Android

Learn how to create and edit report template fields using the new user interface.

Overview

With the release of Conditional Fields, we’ve improved the functionality of our form builder tool and given you greater flexibility to create and edit report template fields.

Before you start

Here are some things you must do before you start:

  • Contact us to activate the Conditional Fields feature on your TrackTik Portal.
  • Ensure you have the necessary permissions.
  • Create a report template

Create fields in a report template

To create fields in a report template using the new user interface, follow these steps:

  • Select Settings.
  • Choose Report Templates.
  • Next, select Custom Report Forms.
  • Pick your previously created Custom Report from the list.
  • Then choose Field Setup.
  • This opens the new report template builder.
  • Select a field type from the left-hand column.
  • Provide the following information about the field.
    • Name
    • Indicate whether the field is Required. Users must fill in the field to complete the report.
    • Indicate whether the field is Confidential. You can control who has access to the information entered in these fields. Please see the section below for more information.
    • Add an optional Field Tag to identify fields for auditing purposes.

Report template field types

The report template builder gives you the flexibility of including different types of fields to ensure the relevant information is included in your reports:

Text fields

  • Text Box (Regular)- this field is intended for short descriptions, such as a name or location. This field can be set as confidential.
  • Comment Box (Text Area)- This field is meant to capture long narratives of detailed text. It also features a Talk-To-Text function that allows users to capture text notes by speaking into the phone. This field can be set as confidential.
  • Number—This field allows the user to enter a number or scroll up and down to enter a value. It can be set as confidential.
  • Checkbox- This field allows users to check a box next to the information you’ve added to the report template.

List fields

  • List Picker (Choose One)- creates a drop-down list where users can select one option from the ones you provide.
  • List Picker (Choose Multiple)– creates a drop-down list where users can choose multiple options from the ones you provide.
  • List of Site Locations– users can choose from pre-defined site locations.
  • List of Incident Categories– users can choose an incident category for the report from this drop-down.
  • Client List– creates a drop-down list with a list of clients for the mobile user to choose from.
  • Client List (Relink)- creates a drop-down list of clients for the mobile to choose from to relink them after the report is created.
  • Employee List– creates a drop-down list of employees.
  • Patrol Vehicle List– creates a drop-down list of patrol vehicles
  • Tenant List– creates a drop-down list of tenants. Used with Visitor Management.

Draw fields

  • Draw: Bus– a bus diagram the user can draw on with their fingers.
  • Draw: Vehicle- a car diagram the user can draw on with their fingers.
  • Draw: Body Injury- a diagram of a body the user can draw on with their fingers.
  • Draw: Trailer- a truck diagram the user can draw on with their fingers.
  • Draw: Golf Cart- a golf cart diagram the user can draw on with their fingers.
  • Draw: Van- a van diagram the user can draw on with their fingers. It is available on mobile app versions greater than Android 5.7.158 and iOS 2.7.
  • Signature Box– allows users to sign their name using their finger to write their signature.

Scanner fields

  • Text Box with Barcode Scanner – This field uses the camera on the device to read barcodes.
  • Barcode Scanner with Counter – This field allows users to scan barcodes while keeping a count of the times a code has been scanned. Codes can be scanned multiple times, increasing the count. The count is shown in your operation report. It is available on mobile app versions greater than Android 5.7.158 and iOS 2.7.
  • Barcode Scanner with Counter (Unique-only) - This field allows users to scan barcodes while keeping a count of the times a unique code has been scanned. Codes can be scanned only once to increase the count. The count is shown in your operation report. It is available on mobile app versions greater than Android 5.7.158 and iOS 2.7.
  • ID Card Scanner – designed to read the barcode on most driver’s licenses in North America, which are most often in the PDF417 format. After scanning, the field will populate with the associated information.

Picture fields

  • Picture—This field gives the user a button to tap to take a picture with the device’s camera. The picture is added to the report automatically. The mobile application uses image compression to save data, so the quality of the image may be degraded when resized.
  • Picture from Gallery- This option allows users to select an existing picture from their device’s gallery and add it to the report.
  • High-Quality Picture—Users can take a higher-quality, uncompressed picture using their camera. The uncompressed image is sent to our servers and resized to be included in the body of the report, and the original image is added to the end of the report as an additional page.

Time and date pickers

  • Time Picker – users can enter time information using a clock face.
  • Date Picker – users can enter information using a calendar.
  • Date Time Picker – users can enter information using a calendar to pick the date, followed by a clock face to specify the time. It is available on mobile app versions greater than Android 5.7.158 and iOS 2.7.

Dividing fields

  • Section – use this field to create a dividing line between fields.

Editing report fields

You can edit the fields in your report template by going to:

  • Settings
  • Select Report Templates
  • Then, select Custom Report Forms
  • Choose the report template you want to edit and click Field Setup.

Reorganize, delete, add, or edit the information in your report template on the new template builder screen.

Confidential report fields

You can set fields in your report templates to confidential, controlling access. When a report is generated with these fields, they will be marked confidential on the printed report and to any users who don’t have the necessary permissions.

Permissions

To grant the necessary permissions to create and see confidential fields:

  • Go to Settings
  • Select Roles & Security
  • Choose the Admin role that requires the permissions
  • Open the Patrol folder
  • Check the boxes next to Set Confidential Fields and View Confidential Fields

How confidential fields are displayed

If a user is authorized to view confidential fields, they will see the information in the report on the TrackTik portal.
