The Summary By Shift Report or Daily Activity Report is a report that TrackTik creates automatically. It compiles the activity your employees or users perform during their shifts. The PDF includes Reports filed by the employee, checkpoints scanned, and Watch Mode Recordings.
Follow the steps below to view and work with summary reports.
- Select the Operations Reports tab.
- Select Summary by Shift. A list of existing shift reports will appear.
The date filter allows you to select preset filters or custom ranges.
The employee filter allows you to filter the information by employee.
Shift summaries are organized into rows and columns. Each row represents a shift, with columns representing different information about the shift. The columns are:
Employee: The first and last name of the employee. You can use the arrow at the top of the column to sort the shifts alphabetically by first name. The plus icon will take you to the Employee Profile.
Location: The site or zone with which the report is associated. Clicking the plus icon will take you to the Site Profile.
Reports: This shows the number of reports filed by the employee during the shift and the number of those reports that have been approved.
Videos: This shows any videos recorded by the employee during the shift.
Checkpoints: Checkpoints required vs. checkpoints scanned during the shift.
Start: Start date and time of the shift. You can use the arrow at the top of the column to sort shifts by start time.
End: The end date and time of the shift. This field will show the report's status as presently Open and the timestamp if it is complete.
Tracks: View the employee's GPS tracks for the shift.
Download: Download a copy of the shift report.
View: Open the report in the browser.
Actions: You can apply several options to the selected report:
- Approve All Shift Reports -- all shifts to be approved
- Send Shift Report by Email -- forward the report as an email attachment
- Delete this shift (this will also delete the time logs) -- Delete the selected shift
Troubleshooting: Clock In/Out times not appearing
If clock in/out times are not appearing in Summary by Shift, it is typically due to how the time clock was used or device settings that prevented the events from being captured.
Confirm correct time clock usage in the mobile app
- Start of shift: The employee must tap Clock In at the start.
- End of shift: The employee must tap Clock Out or Clock Out & Sign Out. Simply closing the app or signing out without clocking out will not record the event.
- Confirm the employee is clocking in/out for the correct site/post if multiple sites are in use.
Verify device permissions and app state (especially on iPhone)
- Location permissions: Ensure location is set to While Using the App or Always if required by your policy. Some time clock features validate location.
- Background App Refresh: Keep enabled so the app can finalize events if briefly backgrounded.
- App version: Update to the latest app version to avoid known bugs.
- Connectivity: If the employee was offline, clock events should sync once online. Ask the employee to open the app with a good connection to force sync.
Troubleshooting: Reports or activities missing from Summary by Shift
The Shift Summary and Summary by Shift reports aggregate activities recorded while an employee is clocked into a shift. If individual reports or activities are missing, or the report appears blank, the most common causes are configuration and filter settings at multiple levels (HQ, Region, Site, Zone), or there were no qualifying activities recorded during the selected shifts.
Common reasons data may be missing
- Inclusion settings: The report types or activity categories you expect may not be configured to appear in Shift Summary outputs at HQ/Region/Site/Zone.
- Filters exclude data: Date/time range, site/zone, user, role, or activity-type filters may be excluding the data.
- No qualifying activity: Employees may not have submitted any reports during the shift, or they saved them as drafts.
- Shift alignment: The report was submitted outside the shift window, at a different site/zone, or while the employee was not clocked in.
- Dispatch-only tasks: Reports configured as dispatchable/on-demand may not appear unless submitted within an associated dispatch job and within the shift window.
- Time zone differences: Site, user, and report time zones can create apparent gaps when filters are applied.
