Managing reports from the Live Dashboard

From the Live Dashboard, you can view a list of all Field (Reports) and Daily Activity Reports (Summary Reports). In addition, field reports can be downloaded, emailed, or deleted. Summary reports can be approved, emailed, or deleted, and the GPS Tracks can be reviewed. 

If clients log in, they will access only the reports that have been approved for their site. You can remove this data from client reports by marking a report for admin eyes only.

  1. Go to the Live Dashboard.
  2. Select the Operations Reports tab.

Across the top of the Operations Reports page, filters allow you to refine the list of reports.

The following filters are available.

Report Templates: All templates are visible by default, but you can filter by different types. Templates can be Active or Archived and will be displayed or hidden based on the following rules:

  • Active report templates with active reports will appear under Active in the filter list.
  • Active report templates with all their reports archived will be under both Active and Archived in the filter list.
  • Active report templates without archived or active reports will not appear in the filter list.
  • Archived report templates with active reports will appear in the filter list under both Active and Archived.
  • Archived report templates with archived reports will appear under Archived in the filter list.
  • Archived report templates without archived or active reports will not appear in the filter list.

With Incidents:  View only reports with incident categories.

Status: New / All Statuses / Verification (Place holder allows for you to investigate a report before approving) / Approved / Job Pending (can be used by Dispatch to indicate that report is in progress)

Link Status: Relink or All. Relinking a report lets you associate it with a site after the report has been written.

Date Range: Range of dates to filter the search on.

Filter By Incident Type: Please see below for more details. This setting allows you to filter the list of reports by a specific incident category.

Search: Enter keywords to search for in a report. Search will reflect the language you are using in your portal.

Once you locate the report, you can take action(s) based on the available options.

  1. Relink the report to another zone or site.

  1. Change the report's status from New Report to Approved, Verification, or Job Pending.

  1. Download the report in PDF format by selecting the document icon.

  1. Forward a copy of the report via email by selecting the envelope icon.

  1. View the report on-screen by selecting the View button.

  1. Delete the report by selecting the Red box with an X inside it.

Filter By Incident Type For Reports

  1. On your TrackTik page, go to your dashboard and choose Operation Reports.
  2. Under Logs & Activities, choose Reports. The list of reports is displayed.
  3. You will see a new filter named Filter by Incident Type.

  1. When you begin to type, the field automatically suggests available options, as shown below.

Edit Reports

Once a report has been completed, you can edit it with permission.

  1. Click on the View button.

  1. Click the Edit button to edit the report.

  1. Modify the report fields as needed.

  1. Once you have completed the edits, click the Save button at the bottom of the window.

Report Comments

Report comments can be system-generated or user-generated. The system generates report comments when a user modifies the report, but a user can also add comments manually to the comments field.

Files

When a user changes a report, the previous version will be visible under the files section. Users can also manually attach files to the report in this section. Files labeled Backup are system-generated files.

Tracking Report Viewers

When you look at the report, you can see the users who have also viewed the same information. To do so, ensure you've set the necessary permissions.

  • On your TrackTik homepage, hover over Settings.
  • Choose Roles/Permissions. The Roles screen appears.

  1. Click Admin Portal RolesAdministrator and locate Patrol in the list.

  1. Choose the Viewed By permission to display the Tracking Log at the report level.

  1. To view the logs, go to your dashboard and click the Operation Reports tab.
  2. On the left side, under Logs & Activities, click Reports.

  1. For the report you want to display, click the View button at the right of the row. The report details are displayed on a new screen.

  1. On the right side of the screen, click the Viewed By tab to display who has viewed this report. Each entry shows:
    • Who viewed this report (user name)
    • When the user viewed this report (date and time format)
