To handle shift replacements, you can either do so under Vacant Shifts or from the shift tile.
The Shift Tile
Under the Schedules and Attendance Tab, or from within the Schedules tab at the site or the employee file, click on a Shift tile.
You will now be able to select guards who meet the criteria you select. Follow the steps under Select the Guard(s) to receive the Offer.
Vacant Shifts
Begin by locating all the current vacant shifts. Do this directly from the Schedule Dashboard or by clicking on the Vacant Shifts button to your left:
Dashboard > Schedules & Attendance > Vacant Shifts
Select the Lookup Employees button associated with the desired shift from the Vacant shifts panel.
Select the Guard(s) to Receive the Offer
Once you have selected the shift, the information for that shift appears on the assignment panel's left-hand side.
In the assignment panel, you can filter the security guards based on criteria such as experience at the site, not overtime, skills requirements, hourly only, etc. The list of available security guards will appear below. You can select one or several guards at a time or use the option to select all security guards.

Filter By:
- Experience at The Site: The guard has worked at the site before.
- Not Overtime: Display only guards who would not incur overtime if they worked the shift.
- Skills Requirements: Enforce skills requirements for the position/shift.
- Hourly Only: Select only hourly employees.
- Enforce Minimum Rest Period Between Shifts: Enforce the rest period defined in the settings.
- Primary at Site: Select only guards for whom the site is primary.
- Has Grievance: Select only guards who have filed grievances.

Other Parameters:
- Skills: Filter the list of guards by specific skills.
- Maximum Distance: Define the maximum distance the guard can live from the site.

Maximum Rate: Select only guards whose hourly wage equals or is less than the amount entered.

Sort By:
- Grievance: Sort by guards who have filed grievances.
- Primary Site: Sort by guards for whom the selected site is primary.
- Seniority by Assigned Site: Sort guards by seniority at the site.
- Company Seniority: Sort guards by seniority at the company and regardless of site.
- Employee Class: Sort guards by employee class.

Region: Filter by Region or "View all Regions" to see vacancies across the organization.
- Understanding the "TBOT" Column In the results list, you will see a column labeled TBOT (To Be Offered To).
- Checkbox visible: The employee is eligible to receive the offer based on your system rules.
- No checkbox: The employee is not eligible for this shift (e.g., they may have a schedule conflict or have reached their hours limit).
Offering the Shift via SMS To offer the shift to selected guards:
Check the box in the TBOT column for the desired employees.
Click the Offer by SMS button.
Note on SMS Eligibility: If an employee has a TBOT checkbox but is not receiving the text, they must be opted-in to SMS.
Admins: Go to Employee Profile > Edit > check the User Agreement box.
Employees: Log in to the portal > My Profile > Notifications > Opt-in.
- To offer SMS shifts, check the box in the first column on the left.
- Click the Offer by SMS button to offer the shifts to the selected employees. Employees can accept or reject the shift offer by responding to it with "Y" or "N."
Note on Multiple SMS Offers: When you send multiple shift offers via SMS to the same employee, only the most recent offer remains actionable. Each new SMS offer automatically expires all previously sent offers for that employee to prevent double-booking and conflicting acceptances. If the employee replies "Y" to an earlier SMS offer, the response will fail or show as expired/invalid; only the last SMS they received can be accepted. To let an employee accept a previously offered shift, reissue that specific shift as a new SMS offer so it becomes the latest active offer.
Min/Max Target Hours
Under the Employee HR profile:
Employee > HR Profile > Payroll and Schedule Settings > Scheduling Settings
You can include targets for the minimun and maximun weekly scheduled hours .
This setting will facilitate shift replacements (Schedule > Select a Shift > Replace), where you may want to filter employees with a set minimum or maximum target date to facilitate an equal opportunity to their scheduling needs.
Note: this feature does not block from an employee schedule; it is simply a visual guidance for your schedulers.
