Set up Shift, Daily & Weekly Activity Summary Reports

Summary Reports compile all activities completed during a shift, a day, or a week. The summary report notifications automatically send these reports to site contacts. Summary reports are a way to automatically send a client a summary of all activities performed at their site by day or shift. 

Types of Summary Reports

TrackTik can generate summary reports daily or weekly. The weekly summary report will include all activities completed by all security guards over a week. The daily summary report can provide a 24-hour summary of all activities or a shift summary. The shift summary will only include actions the employee assigned to that shift performs.

Select the Site to Configure Summary Report Notifications

Click on the "Sites (Client)" tile from the Live Dashboard. Locate the site in the list and click on the site's name or the "View" button to access the profile.

Reaching all locations with Daily & Weekly Summary Reports

To get a list of all locations with that have Daily & Weekly Summary Reports enabled, head to:
Settings -> In the "General Configurations" tab, click Notifications -> Recurrent Tasks

Configure the Daily & Shift Report Notification Rule

  1. Click on the Notifications tab from the site profile.
  2. In the menu, select the Daily & Shift Report option.
  3. Shift Summary Reports: Send a Shift Report for every security guard's shift. These reports will include all activities the security guard performs during their shift.
  4. Daily Site Summary Reports: Send a Summary Report of all activities from all shifts worked at the site, including the activities completed by all security guards.
  5. Contact Email: Click the checkbox next to the site contact, who will receive the summary report. The information listed is pulled from the contacts, employees, and other site contacts in the profile.

    Note: If the employee’s email does not appear in Contacts, add them to the site as a contact first or verify the employee’s user profile includes a valid email address.

Click the "Save Settings" button to save the notification rules.

Review the Type of Notification

 Make sure the correct summary report notification option is selected. A single site can also use both options.
  1. By Shift: Select to send the complete shift report. Use the drop-down menu to select the trigger for the notification. Shift Completion will send the report when the security guard clocks out to end their shift. Shift Approval will wait to send the shift report until the reports written during the shift have been approved.
  2. By Site: Send a summary of all activities at the site over 24 hours. This report will include activities performed by all security guards at the site. Select when the system will send this report daily and the preferred Report Format (PDF Attachment ).

You can only send a summary report as an email attachment. When configuring the summary notifications, choose which option this site will use for summary reports. If you do not set this at the site level, the summary report generated will adopt the portal settings format.

Configure the Weekly Report Notification Rule

  1. Click on the Notifications tab from the site profile.
  2. In the menu, select the Weekly Report option.
  3. Weekly Sending day: Select the day of the week on which the report should be sent. Once configured, it will be sent out on this day for this site.
  4. Weekly Sending Time: Enter the time of day you would like to send the report to your client. Once entered, the report will be sent out on the day selected in the previous option.
  5. Report Format: Select the desired format for the report when it's sent (PDF Attachment)
  6. Contact Email: Click the check box next to the site contact who will receive the summary report. The contacts listed are pulled from the contacts in the site profile, employees, and other site contacts.
  7. Click the Save Settings button to save the notification rules.
