Modifying and Managing Employees

Once you create an employee, you have several options to modify and manage the employee.

Change Password

Update the employee’s password for the portal and mobile application.

Unban accounts

If a user makes too many attempts to log in you can 'Unban' the employee profile



If you see “This user has been temporarily banned for authentication until [date/time]”, the account has been locked after multiple failed login attempts in a short period. This is an automated security measure controlled by your portal’s lockout policy.
What you can do now:
  • Wait for the lock to expire. The banner shows the exact time it will lift. Once it expires, you can try again.
  • Use Forgot Password instead of retrying. From the login page, choose Forgot Password to reset the password via email. This avoids additional failed attempts.
  • Verify you are using the correct username/login method. If your portal uses SSO, be sure you are using the SSO button and your IdP credentials.
  • Check the basics: turn off Caps Lock, confirm keyboard layout, and ensure you are on the correct portal URL.
  • Admin assistance: An admin can send a password reset link, verify the user’s status is Active, and, if necessary, use Unban to clear the temporary lock ahead of the automatic lift.

Policy details: The number of failed attempts and lockout duration are set by your organization’s security policy. Your Account Admin can review these settings and adjust them if your security policy allows.

Force Password Change

Require the user to change their password the next time they log in.

Snap Picture

Take a picture with the computer’s camera, then incorporate the picture in a badge.

Note: There is no delete option for employee profile photos; you can only replace the image. Follow the steps below to replace a photo.

  1. Open the employee profile.
  2. Click Edit (or click the photo area) and choose Upload.
  3. Select a replacement image (for example, a blank or transparent image, or your company logo).
  4. Save the profile.

 

Terminate

The termination date is for reference only. The employee will be terminated immediately once you click "Save"

ID Card

Create and print an ID card for the employee.

 

Tracks

View the employee’s GPS tracks.

HR Profile

Some features in this button work with TrackTik’s Scheduling module. Others include viewing and managing skills and attributes and assigned sites and departments.

Managing Employee Region Access

If you operate in a multi-region environment, an employee's main region will be the region where the employee works most of the time. By following the steps below, you can grant or restrict access to additional regions.

  1. Click on manage region access.

  1. Check the regions to which you would like to grant the employee access. Leave the box unchecked for the regions to which the employee should not have access.

Follow the steps below to move an employee from one main region to another.

  1. Select the Employees tile.

  1. Check the employees whose main region you would like to change.
  2. Select the Bulk Change button.
  3. Choose the Move option.
  4. Click Save.

  1. Begin typing the region to which you would like to move the employees.
  2. Click Save.

  1. Hit Save to confirm the change.

  1. You will receive a confirmation message that the operation was successful.
  2. Click Save to complete the operation.

You can also move individual employees by following the steps below.

  1. Click the Move button beside the employee.
  2. Select the region to which to move the employee.
  3. Click the Save button.
