The site notification tab

Just as you can set up notifications at the portal and zone levels, you can also set up notifications at the site level. Any notifications you set at the site level override those at the portal level.

To set up notifications at the site, go to the site and click the Notifications tab.

Individual Reports: You can set up notifications that will trigger when specific report templates are filed, when reports are filed with particular incidents or severity levels, or when specific incident flag types are filed. Read more about individual report notifications here.

Panic Button Alert: Receive a notification when staff triggers a panic button at a site. This alert setting overrides the panic alert settings at the domain level.

Late Tour/Late Checkpoint Alert: Receive a notification when a tour is started late or when a checkpoint is scanned late. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Incomplete Tour Alert: This notification is triggered when a tour is ended without completing all the checkpoints. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Finished Tour Alert: Receive a notification once a tour is completed at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Late Shift Alert: Receive a notification when there is a late shift at the site.

Early Clock Out Alert: Receive a notification when there is an early clock out at the site.

Go to Settings → General → Scheduling → "Send Early Clock-Out Alert Before (in minutes)." This field defines when TrackTik will trigger the early clock-out notification if a user clocks out before the shift ends.

Clock In/Clock Out Alert: Receive a notification when an employee clocks in or out at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Clock-in Exception: Receive notifications when employees clock in from outside an allowed area or clock in outside the latitude and longitude of the site.

Missed Break: Receive a notification when employees miss a break during a shift. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Longer Break: Receive a notification when employees take longer breaks than scheduled at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Shorter Break: Receive a notification when employees take a shorter break than scheduled at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Late Break: Receive a notification when employees take a late break during a scheduled shift. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Early Break: This notification will trigger when a guard takes an early break at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.

Unscheduled Break: This notification will trigger when a guard takes an unscheduled break at the site. This setting overrides the domain's Late Tour/Late Checkpoint Alert settings.


If reports are being emailed automatically (for example, a Daily Site Summary at 08:00) and you want to stop or change this, review and update the notification/scheduling rules at the site level.

What to check:

  • Site-level notification rules: Open the site in your admin portal and review its Notification Rules (or Scheduled/Automated Reports). Look for rules that trigger on a schedule (daily/weekly) or based on report creation.
  • Report category rules: Some rules trigger when specific report categories are submitted (e.g., Incident, Maintenance). Make sure only the intended categories are selected.
  • Recipients: Confirm the rule lists only the people who should receive the email/SMS.

How to stop or change an automated report:

  • Edit the rule and change the schedule/time or remove the recipients you no longer want notified.
  • Pause/disable the rule if you may need it later, or delete it to stop it entirely.
  • If you no longer want a site-wide daily summary, remove the Daily Site Summary rule at that site.

Tip: If you aren’t receiving expected notifications, it may be because no rule exists for that report type/category. Create a rule specifically for those categories and add the correct recipients.
