Configure clock-out confirmation rules

Clock-out confirmation is a configurable feature that requires guards to acknowledge shift completion before clocking out. 

You can configure custom prompts and set out requirements for signatures or written reasons.

 

Enable clock-out confirmation

Clock-out confirmation is disabled by default. When disabled, mobile apps ignore all configuration settings and show no prompts to guards.

  1. Log in to the TrackTik Portal.
  2. Navigate to Settings.
  3. Select the configuration level:
    1. Global: Affects all regions and sites
    2. Region: Affects all sites within the region
    3. Site: Affects only the selected site
  4. Find and select Clock-out Confirmation.
  5. Toggle the feature to Enabled.

Configure acknowledgement type and prompt

After you enable clock-out confirmation, configure how guards acknowledge their shift completion.

  1. In the Clock-out Confirmation settings, select an Acknowledgement type. See the options below:

Guards see a text prompt with OK and Cancel buttons. No signature or reason is required.

For simple shift-end acknowledgements.

Guards must provide an on-screen signature to clock out.

Guards who decline to sign must provide a written reason before clocking out.

For high-accountability environments where all clock-outs require documentation.

  1. (Optional) In Custom prompt text, enter the message guards to see when clocking out.
    • If you leave this field empty, guards see a default message.
    • The text supports up to 500 characters.
  2. Select Save.

How configuration levels work

Clock-out confirmation settings follow a hierarchy:

  1. Site-level settings override region and global settings for that site.
  2. Region-level settings override global settings for all sites in the region.
  3. Global settings apply to all regions and sites without specific configurations.

Example: If you configure signature requirements at the region level, but a site has its own "None" configuration, guards at that site don't need to sign.

 

Verify configuration in mobile apps

After you save configuration changes, they appear in mobile apps within 24 hours. Guards receive the rules when they:

  • Start a new shift
  • Refresh their shift data
  • Use the clock-out confirmation extension in the API

 

Supported applications:

  • TrackTik Guarding Application (C&G)
  • TT-Shift

Note: The clock-out confirmation feature is not available in NGA.

 

Disable clock-out confirmation

  1. Navigate to the configuration level (Global, Region, or Site).
  2. Select Clock-out Confirmation.
  3. Toggle the feature to Disabled.
  4. Select Save.

When disabled, the system ignores all previous settings, and mobile apps show no clock-out prompts.

 

Related permissions

To view clock-out confirmation data in activity reports, users need:

  1. Scheduling enabled in their permissions
  2. View clock out confirmation permission (located under "View scheduling reports") 👇

 

Without these permissions, users can't see confirmation data even if the feature is enabled.

 

Feature activation requirement

Important: Activating the clock-out confirmation feature requires assistance from Customer Success.

To activate clock-out confirmation for your organization:

  1. Contact your TrackTik Customer Success representative.
  2. Request activation of the clock-out confirmation feature.
  3. Once activated, you can configure the settings as described in this article.

Your Customer Success team will guide you through the activation process and discuss configuration options based on your accountability and operational needs.
