Manually carry over a Leave Balance

Learn how to carry over a Leave Balance manually.

 

Overview

Setting a reset month for your Leave Policy automatically happens on the first day of the reset month. However, when the policy resets, you can carry over all or some remaining Leave Balance. For example:

  • Sterling has 15 days of leave and uses 10 days during the year. Sterling’s Leave Policy resets on March 31 every year, and that date is coming up. As a manager or administrator, you can decide if you want to add the five remaining leave days to the Leave Policy for next year, which could give Sterling 20 days in total to use for the next Leave Policy year. You can also give Sterling all five days or less than that.

 

Before you start

Here are some things you must do or know before you start:

  • Make sure you created a Leave Policy with Policy Items.
  • Your Leave Policy must have a reset month.
    To learn more about a reset month, check out Create a Leave Policy.
  • If you used carryover for the last calendar year, the Carryover button doesn’t show up again until the new year gets triggered, as this button must only be used once a year to move out the remaining balances.
  • You can always adjust employee leave in their profile by managing their Policy Item balance.

 

Manually carry over a Leave Balance

To manually carry over a Leave Balance:

  1. Log into your TrackTik Portal.
  2. Select Settings.
  3. In Backoffice Configurations, choose Leave Management.
  4. Choose the Leave Policies tab.
  5. Next to a Policy Record, in the Carryover column, select Carryover. A modal shows with two tabs: LEAVE REQUESTS and CARRYOVER:
    • In the LEAVE REQUESTS, check if you have any pending Leave Requests.
      You must approve or decline the pending Leave Requests before starting the carryover process.
    • Select the CARRYOVER tab; this tab shows all Policy Items that use carryover.
      If the Carryover button isn’t showing, complete the Before you start section in this article.
  6. Select SAVE.
    The SAVE button shows only after you select LEAVE REQUESTS and CARRYOVER.

You manually carried the employee's Leave Balance to the next calendar year.
