Create a single or batch of Paid Time Off (PTO) Requests

Learn how to create a Paid Time Off (PTO) Request in Back Office Suite.

Overview

With PTO Requests, you can pay your employee for their time away without making any mistakes in your payroll.

Before you start

Here are some things you must do before you start:

  • Contact us to have the Paid-Time Off (PTO) Amount during Leave Request permission turned on.

Create a single or batch of PTO Requests

There are two ways to create a PTO Request. You can make a single request or a batch of them through a scheduled shift or an employee's schedule.

 Keep in mind

  • Creating a Time Off Request during the same time as a Leave Request blocks schedulers from creating a PTO Request.
  • PTO Requests don’t affect Leave Requests because it’s technically not a part of scheduling.

Create a single PTO Request

To create a single PTO Request, you can do it as you would when scheduling a shift:

  1. Log into your TrackTik Portal.
  2. Select Sites (Client).
  3. Choose View for the site.
    To find a site, enter the name in the Type to filter box.
  4. Select the Schedules tab.
  5. Choose a scheduled shift.
  6. Select the Time Approval tab.
  7. Under Shift Classification, in the Shift Type drop-down menu, select This is a Paid Time off (Not an actual shift). Select Save.

  8. Choose the Edit Schedule tab.
  9. To assign the PTO, in Employee, select an employee from the Employee drop-down menu.

  10. Select Save Shift.

The PTO is shown in the site schedule.

View PTO in an employee's schedule

You can also view the PTO in the employee's schedule:

  1. In the left-side menu, choose Employees.
  2. Select View for the employee.
    To find an employee, enter their name in the Type to filter box.
  3. Select Schedules.

The PTO is set for the scheduled employee; the scheduled shift is highlighted in orange and has a black PTO square in the corner.

The affected employee will be notified in TrackTik SHIFT about the PTO change.

 

Create a batch of PTO Requests

To create a batch of PTO Requests, you can do it through an employee's schedule:

  1. Log into your TrackTik Portal.
  2. Select Sites (Client).
  3. Choose View for the site.
    To find a site, enter the name in the Type to filter box.
  4. Select the Schedules tab.
  5. Choose Prepare.
  6. Select the shift or shifts for which you want to create PTO.
  7. Choose + Create PTO.
  8. In the Create PTO modal, enter the position rate in the Rate box.
  9. Select Save.

You can assign any available employee to the PTO by choosing them from the Assign Employee menu.
