Approve, decline, or submit an Overnight Leave Request

Learn how to approve, decline, or submit an Overnight Leave Request for an employee in Back Office Suite.

 

Overview

Employees can send Overnight Shift Requests from TrackTik SHIFT so that you can approve or decline them. As a manager or administrator, you might want to submit an Overnight Leave Request for an employee. You can do this all through Leave Management.

Approve, decline, or submit an Overnight Leave Request

Once an employee submits an Overnight Leave Request, you can approve or decline it with a reason in Leave Management. You can also keep up with your employee needs by submitting and viewing Overnight Leave Requests on their behalf.

 

Approve an Overnight Leave Request

To approve an Overnight Leave Request:

  1. Log into your TrackTik Portal.
  2. Select Dashboards.
  3. Choose the LEAVE REQUESTS tile.

  4. Select Pending.
  5. Look for the name of the employee or the shift you want to approve and select the row to see more details about an affected shift in Affected shifts. You can also see any Overnight Leave Requests with shift conflicts by hovering over the Clock icon in the Start leave date column.

  6. Select APPROVE.

After approval, you are logged as the reviewer, along with the review date and reason for approving the Overnight Leave Request.

If the employee turns on their notification in TrackTik SHIFT, they are notified of the approved request.

When you approve the request, you can send the unfilled shift to Open Shift or Vacant Shift for other employees to pick up.

Decline an Overnight Leave Request

To approve an Overnight Leave Request:

  1. Log into your TrackTik Portal.
  2. Select Dashboards.
  3. Choose the LEAVE REQUESTS tile.

  4. Select Pending.
  5. Look for the name of the employee or the shift you want to approve and select the row to see more details about an affected shift in Affected shifts. You can also see any Overnight Leave Requests with shift conflicts by hovering over the Clock icon in the Start leave date column.

  6. Select DECLINE.

After declining, you are logged as the reviewer, along with the review date and reason for declining the Overnight Leave Request.

If the employee turns on their notification in TrackTik SHIFT, they are notified of the declined request.

 

Submit an Overnight Leave Request

To submit an Overnight Leave request for an employee:

  1. Log into your TrackTik Portal.
  2. Go to Employees > View > Leave Management > Log Employee Leave.
  3. In the Leave Type drop-down menu, select a Leave Type.
  4. Select a to and from date and start time in the Start leave date / End date calendar. If you choose a date with a navy dot, the end time is automatically calculated as start time plus end date minus one second and is entered for you.
    Select Affected shifts to see the details of the shift or shifts the Overnight Leave Request affects. This includes the date, time, employee name, site, and position.

  5. In the Reason box, entering a reason for the Overnight Leave Request is optional.
  6. Choose SAVE.

You can view the Overnight Leave Request in the Leave Management Overview.

The employee is notified in TrackTik SHIFT about the shift if they have notifications turned on. Employees can also check the status in TrackTik SHIFT.
