Block the assignment of employees with expired Hard Skills

Ensure only employees with the necessary and up-to-date certifications, permits, and licenses are scheduled at your Sites.

Overview

TrackTik uses Skills & Attributes to filter employees who are better suited to different sites. Hard Skills are requirements that an employee must have to work at a particular location. To ensure flexibility, schedulers were warned if an employee did not meet the criteria for a specific site (due to the expiration of a permit, for example), but you could schedule them.

With the ability to block the assignment, you can ensure that employees without the necessary active permits are not displayed in the schedule, eliminating any risk of error.

Before you start

Here are some things you must do before you start:

Enable the necessary feature and permissions

To activate the Employee Skills & Certifications feature:

  • Click Settings
  • Select View All
  • Choose Features
  • Under Base Features, toggle the Employee Skills & Certifications feature ON.

To give the necessary permissions to an Admin role:

  • Click Settings
  • Select View All
  • Choose Roles & Security
  • Select the Admin Portal Role that needs the permissions
  • Open the Employeeskill folder
  • Check the boxes next to:
    • View Employee Skills
    • Edit Employee Skills
    • View expiring items counter

Block the scheduling of qualified employees with expired hard skills at the portal level

To block the assignment of qualified employees with expired hard skills for all Sites:

  • Click Settings
  • Select View All
  • Click BackOffice Default
  • In the Manage hard skill requirements drop-down menu
    • Select Block the scheduling of qualified employees with expired hard skills

Block the scheduling of qualified employees with expired hard skills at the site or zone level

You can adjust the setting if you only need to block the scheduling at a particular site or zone.

  • Click Sites (Client) or hover and click Site Zones (Groups)
  • Select the site or zone and click View
  • Click the Settings tab
  • Choose BackOffice Default
  • In the Manage hard skill requirements drop-down menu
    • Select Block the scheduling of qualified employees with expired hard skills

Known limitations

We are continuing to develop and improve this feature. Currently, known limitations are:

  • Employees with expired hard requirements are blocked from the live schedule and from taking replacements but are not removed from the Schedule Template.
