Overview
This article explains how to manage visibility of personal information (PII) for different types of Asset Persons.
These are called granular permissions, and they let you control access to phone numbers and emails based on ‘person’ type.
What Changed
Previously, visibility of PII was controlled by a single permission for all Asset Persons. Now, you can assign specific permissions for each type:
- Employee
- Contractor
- Vendor
- Resident
- Client
Default Behavior
- Employees and Clients: Phone number and email are hidden by default.
- Non-employees (e.g., Contractors, Vendors): Phone number and email are visible by default.
Permission Scopes
To override default visibility, assign these permissions:

Note: All permissions are grouped under the Asset Persons section in the permission settings.
UI Behavior
When viewing Asset Persons:
- If the user lacks the relevant permission, PII is hidden from Employees and Clients.
- For other types, PII is shown unless future restrictions are added.
Compatibility
Existing roles with general Asset Person view permissions will continue to work.
No changes are required unless you want to apply granular controls.
Setup Steps
- Go to Settings > Permissions > Asset Persons.
- Review person types used in your system.
- Assign specific view permissions as needed.
